PodConverge Privacy Policy

PodConverge is operated by 1000880792 ONTARIO INC., an Ontario corporation (“PodConverge,” “we,” “us,” or “our”).
This Privacy Policy explains how PodConverge handles personal information when you visit our website, create or use a PodConverge account, connect supported ecommerce platforms or marketplaces, use our applications and services, or otherwise interact with us.
PodConverge provides software that helps merchants and creators design products, work with print-on-demand and fulfillment providers, connect their sales channels, publish products, and manage ecommerce operations.
By using PodConverge, you acknowledge the practices described in this Privacy Policy.
1. Who This Privacy Policy Applies To
This Privacy Policy applies to:
- Visitors to PodConverge websites;
- Registered PodConverge users;
- Merchants and businesses using PodConverge;
- Individuals who communicate with our support or business teams; and
- Individuals whose information is processed as necessary to provide services requested by a PodConverge merchant.
For information relating directly to a PodConverge account holder, website visitor, prospective customer, or other person interacting directly with PodConverge, PodConverge generally determines how that information is handled.
When a merchant connects a sales channel or uses PodConverge to manage orders, production, or fulfillment, PodConverge may process certain information on behalf of that merchant to provide the requested services.
For personal information relating to Etsy Members that PodConverge accesses through the Etsy API, PodConverge acts as a service provider to the applicable Etsy seller and processes that information only to provide the services requested by that seller through PodConverge, subject to Etsy's applicable requirements.
2. Information You Provide to PodConverge
Depending on how you use PodConverge, you may provide information such as:
- Name and email address;
- Business or organization name;
- Telephone number;
- Billing information;
- Account preferences;
- Subscription information;
- Communications with PodConverge;
- Artwork, images, photographs, and design files;
- Text and prompts;
- Product selections and variants;
- Mockups and templates;
- Project information; and
- Other content you choose to provide.
When you purchase a subscription, credits, products, or other services, payment information may be processed by our payment providers. PodConverge does not receive or store complete payment-card credentials where payment processing is performed by those providers.
3. Connected Stores and Sales Channels
PodConverge allows users to connect supported ecommerce platforms, marketplaces, storefronts, suppliers, and other services.
Connections are initiated and authorized by the user through the applicable platform's supported authorization process.
Depending on the service you connect and the functionality you choose to use, PodConverge may receive information necessary to:
- Identify and maintain the connected store;
- Publish products authorized by you;
- Create or update product listings;
- Synchronize relevant product and variant information;
- Receive orders associated with your connected store;
- Coordinate production and fulfillment;
- Manage shipping and tracking;
- Display relevant store and order information in your PodConverge workspace;
- Provide integration support; and
- Maintain the security and reliability of the connection.
PodConverge uses connected-platform information to provide the functionality requested by the authorized merchant and in accordance with requirements applicable to the connected platform.
PodConverge seeks to access only the information reasonably necessary to provide the functionality associated with a connected platform.
Users may disconnect supported integrations through PodConverge or through the applicable third-party platform where that option is available.
4. Etsy Integration
Seller Authorization
When an Etsy seller chooses to connect their own Etsy shop to PodConverge, the connection is initiated by the seller and made through Etsy's official authorization process.
PodConverge uses the Etsy API only to support functionality requested and authorized by the connected Etsy seller.
For personal information relating to Etsy Members accessed through the Etsy API, PodConverge acts as a service provider to the applicable Etsy seller and processes that information only to provide services under the relationship between PodConverge and that seller.
Information and Functionality
Depending on the functionality selected by the seller, PodConverge may use the Etsy API to:
- Connect and maintain the seller's Etsy shop integration;
- Create listings authorized by the seller;
- Update listings authorized by the seller;
- Synchronize relevant product and variation information;
- Receive order information required to provide requested order-management and fulfillment functionality;
- Coordinate print-on-demand production and fulfillment;
- Display relevant information from the seller's connected Etsy shop within the seller's PodConverge workspace;
- Update fulfillment and shipment tracking information where supported and permitted;
- Provide integration-related support; and
- Maintain the security and reliability of the integration.
PodConverge requests only the minimum amount of Etsy API data reasonably necessary to provide the intended functionality to the connected Etsy seller.
PodConverge does not obtain or store an Etsy seller's Etsy account password through the Etsy integration.
How Etsy API Information Is Used
Information accessed through the Etsy API is used solely to provide the Etsy-related functionality requested by the connected seller and as otherwise permitted by Etsy's applicable requirements.
PodConverge does not use information obtained through the Etsy API to:
- Send unsolicited advertising or marketing communications;
- Add Etsy buyers or other Etsy Members to marketing lists without the required authorization;
- Connect Etsy API information to third-party advertising or marketing platforms;
- Sell Etsy Member information;
- Commercialize Etsy Member information;
- Build or sell data products derived from Etsy API information;
- Conduct unauthorized marketplace, competitor, seller, listing, or user analysis;
- Scrape or automatically analyze Etsy, Etsy shops, Etsy listings, or Etsy user profiles;
- Manipulate Etsy shop statistics, ratings, reviews, views, or engagement;
- Train artificial intelligence or machine-learning models;
- Provide Etsy API information for the training of third-party artificial intelligence or machine-learning models; or
- Use Etsy API information as input to AI-assisted features where such use is not expressly permitted by Etsy.
PodConverge does not use automated systems or browser extensions to scrape Etsy or obtain Etsy information outside authorized methods in violation of Etsy's applicable requirements.
Etsy Buyer and Member Information
Where order fulfillment requires information relating to an Etsy buyer or other Etsy Member, PodConverge processes only information reasonably necessary to provide the service requested by the connected Etsy seller.
Depending on the order and requested functionality, this may include information such as:
- Recipient name;
- Delivery address;
- Order information;
- Product and variant information;
- Shipping information; and
- Fulfillment and tracking information.
Etsy Member personal information received through the Etsy API is not used by PodConverge for unrelated marketing or unsolicited commercial communications.
PodConverge does not obtain or retain Etsy buyer payment-card credentials through the Etsy API.
Service Providers and Fulfillment
Where necessary to provide a seller-requested Etsy integration, PodConverge may provide information to service providers or production and fulfillment providers only to the extent reasonably necessary to operate the integration or complete the requested service.
For example, when an Etsy seller requests fulfillment of an order through a selected print-on-demand or fulfillment provider, information necessary to produce and deliver that order may be provided to the selected provider.
PodConverge does not transfer or commercialize access to the Etsy API, Etsy API credentials, or Etsy Member content or information.
Etsy Information and AI
PodConverge offers AI-assisted features elsewhere within its platform for activities such as design creation, image generation, editing, and mockup creation.
Information received through the Etsy API is not used to train artificial intelligence models or machine-learning models.
PodConverge does not collect or request Etsy content through the Etsy API for artificial intelligence, machine-learning, or general analytics purposes unless such use is expressly authorized in writing by Etsy.
PodConverge does not provide Etsy API information to AI technology providers for unrelated model training, model development, or analytics.
Etsy Information and Analytics
PodConverge may measure how users interact with PodConverge's own websites and applications, such as application performance, errors, page usage, and feature usage.
PodConverge does not collect, scan, or request Etsy API content for general analytics purposes unless expressly authorized in writing by Etsy.
PodConverge does not use Etsy API information to create unauthorized analytics concerning Etsy shops, Etsy listings, Etsy Members, marketplace activity, competitors, or the Etsy marketplace.
Retention of Etsy Information
PodConverge does not cache or store information obtained through the Etsy API longer than reasonably necessary to provide the authorized service to the connected Etsy seller, except where retention is required by applicable law.
Where Etsy information is no longer reasonably necessary for the authorized service, PodConverge takes reasonable steps to delete, anonymize, or securely dispose of it as appropriate and subject to applicable requirements.
Disconnecting Etsy
An Etsy seller may disconnect their Etsy shop from PodConverge.
After an Etsy shop is disconnected:
- PodConverge stops making new API requests using that shop's authorization, subject to technical and legal requirements;
- PodConverge functionality that depends on the Etsy connection may stop working; and
- Information previously received through the Etsy API is handled in accordance with the retention requirements described in this Privacy Policy and applicable Etsy requirements.
The seller may also revoke PodConverge's authorization through Etsy where Etsy provides that functionality.
Security Incidents Involving Etsy Information
PodConverge maintains safeguards designed to protect information received through the Etsy API.
If Etsy Member information accessed through the Etsy API is compromised or is reasonably suspected to have been compromised, PodConverge will follow applicable Etsy notification requirements, including notifying Etsy and the affected Etsy seller within the period required by Etsy's API Terms.
Etsy's Independent Privacy Practices
Etsy is an independent third party. Etsy's own collection, use, disclosure, and handling of information is governed by Etsy's terms and privacy policies.
The term “Etsy” is a trademark of Etsy, Inc. This Application uses Etsy's API, but is not endorsed or certified by Etsy, Inc.
5. Print-on-Demand and Fulfillment Services
When you choose to produce or fulfill products through PodConverge, we may process information necessary to complete your requested order.
Depending on the order, this may include:
- Product and variant information;
- Design files;
- Production specifications;
- Recipient name;
- Delivery address;
- Shipping selection;
- Order information; and
- Fulfillment and tracking information.
PodConverge provides the applicable production or fulfillment provider with information reasonably necessary to complete the requested service.
Where information originates from a connected marketplace, its handling remains subject to requirements applicable to that marketplace.
6. AI and Creative Features
PodConverge provides AI-assisted and other creative tools for activities such as design creation, image generation, editing, mockup creation, and product-content preparation.
When you choose to use these features, PodConverge may process content and instructions you provide to perform the requested operation, such as:
- Prompts;
- Text;
- Artwork;
- Images;
- Design files;
- Product information;
- Selected settings; and
- Related instructions.
Where necessary to provide a requested AI-assisted feature, information submitted by the user for that feature may be processed by technology providers that assist PodConverge in delivering the requested functionality.
Information obtained through a connected marketplace is handled separately in accordance with the requirements applicable to that marketplace.
In particular, information obtained through the Etsy API is not used to train artificial intelligence or machine-learning models and is not collected or requested through the Etsy API for AI, machine-learning, or general analytics purposes unless expressly authorized in writing by Etsy.
7. Technical and Usage Information
When you use PodConverge, certain technical information may be generated as part of operating, securing, maintaining, and improving the service.
This may include:
- IP address;
- Browser and device information;
- Operating system;
- Approximate region;
- Login timestamps;
- Pages and PodConverge features used;
- Session information;
- Application performance information;
- Error information; and
- Cookie or similar technology identifiers.
We use this information to:
- Operate PodConverge;
- Authenticate users;
- Maintain security;
- Diagnose technical problems;
- Monitor application reliability;
- Understand the use of PodConverge's own websites and applications; and
- Improve the PodConverge user experience.
Technical and usage analytics relating to PodConverge's own websites and applications are distinct from marketplace information obtained through connected APIs.
PodConverge does not use Etsy API information for general analytics where such use is not permitted by Etsy.
8. How We Use Information
PodConverge uses information as reasonably necessary to provide, maintain, secure, and operate services requested by users, including to:
- Create and maintain accounts;
- Authenticate users;
- Provide design and product tools;
- Provide requested AI-assisted features using information submitted for those features;
- Connect authorized sales channels;
- Publish and manage products;
- Synchronize authorized information;
- Manage orders;
- Coordinate production and fulfillment;
- Provide supplier-related functionality;
- Process subscriptions and payments;
- Provide customer support;
- Diagnose technical problems;
- Maintain service reliability;
- Protect accounts and systems;
- Prevent fraud and abuse;
- Comply with applicable legal obligations; and
- Improve PodConverge's own websites, applications, reliability, and user experience.
Information received from connected platforms is subject to additional limitations imposed by those platforms.
PodConverge does not use connected-marketplace information for purposes prohibited by the applicable marketplace.
9. How Information Is Shared
PodConverge shares information only where reasonably necessary to provide our services, follow your instructions, operate our business, protect our systems, or meet applicable legal requirements.
Service Providers
We use service providers that assist with functions such as:
- Cloud infrastructure;
- Authentication;
- Payment processing;
- File storage;
- Application monitoring;
- Email delivery;
- Customer support;
- Analytics relating to PodConverge's websites and applications; and
- Technology used to provide AI-assisted functionality requested by users.
These providers receive information appropriate to the services they perform and are subject to applicable contractual, confidentiality, privacy, or security requirements.
Information received through a connected marketplace is shared with service providers only where reasonably necessary to provide the authorized service and subject to requirements applicable to that marketplace.
For Etsy specifically, PodConverge does not transfer or commercialize Etsy API access, Etsy API credentials, or Etsy Member content or information.
Production and Fulfillment Providers
When you request production or fulfillment, PodConverge provides the selected provider with information reasonably necessary to complete the requested order.
This may include recipient and shipping information where necessary to deliver the seller's order.
Connected Platforms
When you instruct PodConverge to publish, update, synchronize, or otherwise interact with a connected sales channel, PodConverge transmits information reasonably necessary to carry out your request.
Legal Requirements
PodConverge may disclose information when reasonably necessary to comply with applicable law, lawful requests, or court orders; protect rights or safety; investigate fraud or security incidents; or enforce our agreements.
Business Transactions
If PodConverge participates in a merger, acquisition, financing, restructuring, sale of assets, or similar business transaction, information may be transferred as part of that transaction subject to applicable legal, contractual, confidentiality, and platform-specific requirements.
10. Marketplace Information
Information received through connected marketplaces is used to provide services authorized by the applicable merchant and is handled in accordance with requirements applicable to the connected marketplace.
PodConverge does not sell customer, buyer, order, or personal information received through connected marketplace APIs to data brokers or unrelated third parties.
PodConverge does not use marketplace API information for unrelated advertising or unsolicited marketing.
PodConverge does not use marketplace information for a purpose prohibited by the marketplace through which that information was received.
Where a marketplace limits analytics, artificial intelligence use, automated analysis, retention, disclosure, or other processing of its information, PodConverge applies those limitations to information received through that marketplace.
11. Cookies and Similar Technologies
PodConverge and its service providers may use cookies and similar technologies in connection with PodConverge's websites and applications to:
- Keep users signed in;
- Remember preferences;
- Secure accounts;
- Understand use of PodConverge websites and applications;
- Measure application and website performance;
- Diagnose technical issues; and
- Improve our websites and services.
Where required, users are provided with mechanisms to manage applicable cookie preferences.
Users may also control cookies through their browser settings, although disabling certain cookies may affect some PodConverge functionality.
Cookies and similar technologies used for PodConverge's websites and applications are not used to circumvent restrictions imposed by connected marketplaces.
12. International Processing
PodConverge is operated by a Canadian company and works with service providers that may operate in Canada, the United States, and other jurisdictions.
As a result, information may be processed in countries other than the country in which you live. Privacy and data-protection laws in those jurisdictions may differ.
Where required by applicable law, PodConverge uses appropriate measures for international transfers.
Information received from connected platforms remains subject to applicable platform requirements regardless of where permitted processing occurs.
13. Retention
PodConverge keeps information only for as long as reasonably necessary for the purposes for which it is processed, including to:
- Provide requested services;
- Maintain active accounts and integrations;
- Complete transactions and fulfillment;
- Maintain security;
- Meet legal, tax, accounting, or regulatory requirements;
- Resolve disputes; and
- Enforce agreements.
Different types of information may have different retention periods.
When information is no longer reasonably required, PodConverge takes reasonable steps to delete, anonymize, or securely dispose of it.
Information received through connected platforms may be subject to additional retention restrictions established by those platforms.
Information obtained through the Etsy API is not cached or stored longer than reasonably necessary to provide the authorized service to the applicable Etsy seller, except where retention is required by applicable law.
14. Security
PodConverge maintains reasonable administrative, organizational, and technical safeguards designed to protect information.
These measures may include, where appropriate:
- Encryption in transit;
- Protection of stored information;
- Authentication controls;
- Restricted access;
- Infrastructure monitoring;
- Backups;
- Vulnerability management;
- Incident-response procedures; and
- Confidentiality requirements for personnel with access to information.
No internet-based service or electronic storage system can guarantee absolute security.
Users are responsible for protecting their account credentials and should notify PodConverge promptly if they believe their account has been compromised.
PodConverge also follows security and incident-notification requirements applicable to connected platforms. Where Etsy Member information accessed through the Etsy API is compromised or suspected to be compromised, PodConverge will follow Etsy's applicable API security and notification requirements.
15. Your Privacy Choices and Rights
Depending on where you live and applicable law, you may have rights concerning your personal information, including rights to:
- Request access;
- Request correction;
- Request deletion;
- Request restriction of certain processing;
- Object to certain processing;
- Withdraw consent where applicable;
- Request portability where applicable; and
- Opt out of marketing communications.
These rights may be subject to applicable legal exceptions.

We may need to verify your identity before completing certain requests.
Where PodConverge processes personal information on behalf of a merchant, including where PodConverge acts as a service provider to an Etsy seller in relation to Etsy Member personal information accessed through the Etsy API, we may coordinate with or direct the request to the applicable merchant where appropriate.
16. Disconnecting Integrations
Users may disconnect supported sales channels and marketplace integrations.
After an integration is disconnected:
- PodConverge stops making new requests using that connection, subject to applicable technical and legal requirements;
- Functionality dependent on that integration may stop working; and
- Information associated with the integration is handled according to applicable retention requirements.
Users may also need to revoke PodConverge's access through the applicable third-party platform.
For Etsy integrations, the additional practices described in Section 4 — Etsy Integration apply.
17. User Content
You retain the rights you hold in content that you upload to PodConverge.
PodConverge processes user content to provide functionality you request, including design, product creation, AI-assisted processing, mockup generation, publishing, storage, collaboration, production, and fulfillment where applicable.
You are responsible for ensuring that you have the necessary rights to upload, use, publish, and process content through PodConverge.
Your use of third-party services through PodConverge may also be subject to those third parties' terms and policies.
Content obtained from a connected marketplace is handled in accordance with the applicable marketplace's requirements and is not treated as user-provided content for purposes that would circumvent those requirements.
18. Children
PodConverge is a business-oriented service and is not intended for children.
You must be at least 18 years old, or the applicable age of legal majority required to enter into a binding agreement, to create a PodConverge business account unless otherwise permitted by applicable law.
19. Third-Party Services
PodConverge integrates with and relies on third-party services, including ecommerce platforms, marketplaces, payment providers, print-on-demand and fulfillment providers, cloud infrastructure providers, technology providers, and other business services.
When you choose to connect or use a third-party service, that third party may independently handle information according to its own terms and privacy policy.
PodConverge does not control the independent privacy practices of third parties.
Where PodConverge receives information through a third-party platform API, PodConverge also handles that information subject to applicable requirements governing that API.
20. Changes to This Privacy Policy
We may update this Privacy Policy to reflect changes to PodConverge, our integrations, applicable legal requirements, or requirements of platforms with which we integrate.
When appropriate or legally required, we will provide notice of material changes.
The “Last Updated” date at the beginning of this Privacy Policy indicates when it was most recently revised.
